Free Wave Privacy Policy
1. The Personal Information Protection System
Free Wave Co. Ltd. (heretofore referred to as “Free Wave”) regards any and all personal data it acquires from its foreign entertainers such as musicians, dancers and models to be used in casting and management businesses as assets of ultimate importance. This has lead to the establishment of the system called the “Personal Information Protection Management System”, based on JISQ15001, to protect all personal Information. Free Wave will fully comply with this policy in order to provide trustworthy service to both its clients and registrants.
2. Protected Personal Information
Personal Information is information pertaining to that of an individual, as well as any information that can specify one person through association (name, date of birth, etc). Based on its privacy policy, Free Wave will protect any and all information it acquires from its registrants such as models and narrators, clients, and employees, placing top priority above all on the information of its registrants.
3. The Personal Information Protection Management System
Free Wave fully adheres to and enforces all guidelines of its Personal Information Protection Management System. It has formulated detailed rules and regulations, and pays full attention to the handling of all personal information with its Chief Privacy Manager.
4. Purpose of the Use of Personal Information
Free Wave acquires Personal Information for the following purposes, with proper consent. While the registrant may decide how much he/she wishes to offer, he/she must be aware of the possibility that the offered information may be deemed insufficient by any number of clients.
(1) Acquired Personal Information
To be used for the purpose of casting in advertisements, events, publishing, and all related fields.
(2) Personal Information of Office Applicants
To be used for recruitment purposes. The personal information of applicants who have not been selected will be disposed of after the recruitment period.
(3) Personal Information of Former Employees
To be filed for an extended period of time, in accordance with applicable regulations.
(4) Personal Information of Clients
To be used for business communications and operations.
5. Usage, Provision, and Commission of Personal Information
All acquired Personal Information will only be used within the confines of the agreement, and will not be used for any other purpose. Furthermore, preventive measures have been set up to avoid any and all misuse of personal information. Free Wave will not provide any personal information to any third parties without the subject’s consent. However, it may consider outsourcing part of its service of handling personal information to a company that has passed its safety control criteria and has signed a contractual confidentiality agreement.
6. Implementation of Safety Measures to Protect Personal Information
To prevent the leaking or loss of Personal Information, Free Wave’s computer security system and access to its office is controlled. The following explains these safety measures in more detail.
(1) Management of Third Parties
Free Wave only outsources its work to companies that have proper means to protect personal information. Contractual agreements are formed with each of these parties so they follow the same standards of handling personal information.
(2) Encryption by SSL
When a user sends personal information through Free Wave’s website, SSL technology will encrypt such information so it will not be leaked when transmitted.
**SSL is a technology that encrypts data as it is transmitted online, to prevent any leaks to outside parties.
(3) Education and Management of Employees
A Chief Privacy Manager is assigned to protect all Personal Information, and keeps the other employees up-to-date on the latest developments. Every employee realizes the importance of this information, and pays the utmost care in the handling of such information.
(4) Corrective Measures
Strict measures are enforced to prevent the leakage of Persona l Information. However, in the event information is passed on without complying to the aforementioned guidelines, a structural plan to analyze the cause of and prevent the recurrence of such incidents will be formed.
7. Applicable Laws & Guidelines
The regulations of the Personal Information Protection Law and all other applicable laws and guidelines within the Personal Information Protection Management System will be followed at all times.
8. Continuous Improvement of the Personal Information Protection Management System
The contents and structure of the Personal Information Protection Management System will undergo constant examination and improvement, and may periodically adjusted in accordance with changes in social situations, information technology, and industrial standards.
9. Disclosure, Correction, Deletion, Suspension, and Provision of Personal Information
Requests for the disclosure, correction, deletion, and suspension of personal information may be made at any time. Please forward all inquiries to the Privacy Protection Department.
10. Consultation and Complaints Regarding the Handling of Personal Information
A division has been set up to respond to any and all question and complaints regarding the management of Personal Information. Feedback will be used to further improve the Personal Information Protection Management System.

Personal Information that is subject to disclosure, correction, suspension, deletion, and provision towards third parties has been marked (*).
Based on the Personal Information Protection Law and JISQ15001, all personal Information that is identified as such is subject to protection by Free Wave,

3.Application Process for the Notification of the Purposes for Usage of Personal Information

Free Wave cannot accept applications that involve Personal Information it does not possess, data that has expired, or if any reasons arise that prevent it from disclosing said data.

Please fill it out and mail it to Free Wave’s Privacy Protection Department, enclosed with proof of ID, 840yen in postage for mailing the application and receiving the form confirming receipt of the application. Applicants may NOT visit the Privacy Protection Dept. directly.

Application Form for Disclosure of Personal Information
Please fill out the application form with the following information.
- Your full name, address, phone number and signature/seal
- The application date
- Information specifying the personal information you want to disclose
Form of Identification Required to Receive the Requested Personal Information
Please enclose a photocopy of your driver’s license, passport, or health insurance card as proof of ID. Identification must contain your name and current address, and must still be valid.
*If a representative applies for the disclosure of your personal information, please enclose a form of identification for him/her as well. Please refer to the “Application by Representative” section for specifics.
Postage Fees Mailing the Application and Receiving
840yen in postage to cover the cost of mailing the application and receiving the form confirming receipt of the application.

Once Free Wave receives the application requesting the use of personal data for disclosure, correction, addition, deletion, suspension, elimination, or suspension of information to be provided to third parties, and has confirmed the applicant’s proof of ID, it will confirm receipt of the application.
In the event Free Wave does not possess requested personal information, information that has expired, or if any reasons arise that prevent it from disclosing said information, the applicant will be notified immediately by postal mail with delivery confirmation.
All acquired personal information from applications will be strictly supervised and only be released according to the guidelines stated herein. All submitted documents or data will be kept for one year, after which it will be discarded. |
